Privacy Policy
Optical stores trust us with their customers' eye records. This policy explains what we collect, why, how we protect it and the choices stores and their customers have.
Two kinds of data
We handle data in two roles. For the account details a store gives us when it signs up, we decide how that data is used. For the customer records a store keeps in the platform, such as eye tests, bills and job cards, the store decides and we process that data only on the store's instructions.
What we collect from stores
- Account details: name, email, store name, city, number of stores and plan.
- Staff logins and the roles assigned to each.
- Billing details needed to invoice the subscription.
- Usage logs such as sign-in times, device type and errors, used to keep the service working.
What stores keep about their customers
- Name, mobile number, email and family links.
- Eye records: refraction values, PD, fitting height, contact lens fittings and attached prescriptions.
- Purchases, job cards, advances and balances.
- Reminder consent and opt-out status.
Eye records are health data
We treat eye records as sensitive health information. They are encrypted in transit and at rest, visible only to staff roles the store authorises, and every edit is logged with the staff member and time. Eye records are never sold, never used for advertising and never shared with lens brands or labs unless the store sends a job card to that lab.
How the AI Lens Advisor uses data
The advisor reads the saved prescription, frame size, daily-use answers and the store's own stock to suggest options for staff. It does not create or change prescriptions. Customer records from one store are not used to make suggestions for another store, and are not used to train models shared outside that store.
Messages to customers
Recall, refill and pickup reminders are sent only to customers the store has marked as consenting. Every message carries a way to opt out, and opt-outs take effect immediately. Reminder messages do not include powers or other health details.
Who we share data with
- Hosting, email and messaging providers that run the service under written data-protection terms.
- Lens labs, only when a store sends them a job card.
- Authorities, only when the law requires it.
How long data is kept
Store data is kept while the account is active. When a store closes its account, it can export its records first. Data is then deleted from live systems within 30 days and from backups within 90 days, unless the law requires longer retention for tax records.
Rights of stores and customers
Stores can view, correct, export and delete their data at any time. A customer who wants a copy of their eye records, a correction or deletion should ask the store that holds them; we help the store respond.
